Accounting & Administrative Assistant

Job Title: Accounting & Administrative Assistant Location: UAE (Contracting Industry) Reports To: Lead/Senior Accountant Company: Small contracting firm (~100 employees) Job Purpose Support the Senior Accountant in day-to-day bookkeeping, procurement documentation, and administrative accounting tasks, allowing the Senior Accountant to focus on reporting, banking, and progress payment matters for villa/housing loan projects. Key Responsibilities Record daily transactions: bills, journal vouchers (JVs), and payment entries in the accounting system Process subcontractor payments and maintain supporting documentation Handle petty cash reimbursements and maintain petty cash register Issue Local Purchase Orders (LPOs) and follow up with vendors/suppliers Assist in procurement documentation and vendor coordination Maintain organized filing (physical and digital) of invoices, LPOs, contracts, and payment vouchers Reconcile vendor statements and follow up on discrepancies Support month-end closing activities (accruals, basic reconciliations) Assist with data preparation for progress payment claims and bank submissions Perform other accounting/admin duties as assigned Qualifications & Requirements Bachelor's degree in Accounting, Finance, or related field 1–3 years of UAE accounting experience (contracting/construction industry preferred) English: Mandatory (written & spoken) Arabic: Preferred, not mandatory Solid understanding of full accounting cycle (AP, AR, JVs, reconciliations) Working knowledge of accounting software (Tally, QuickBooks, Oracle, SAP, or similar) Proficient in MS Excel UAE VAT knowledge is a plus Valid UAE driving license is a plus (for bank/vendor visits)
