About the Company

Xpanner is redefining construction by empowering the people who build our world. We retrofit heavy machinery with easy-to-use software and Physical AI, tackling critical safety and productivity challenges on the ground. Through our subscription-based automation model (AaaS), we deliver task-specific, field-ready solutions that immediately maximize jobsite efficiency without massive upfront hardware costs. Backed by top-tier global venture capital and optimized by the industry's largest physical dataset, we are actively transforming renewable energy and infrastructure projects today. We don't just build abstract concepts- we put real, practical solutions to work in the field. As Xpanner scales rentals and sales of our X1 retrofit kits and machines across North America, we're looking for a Sales Operations Specialist to be the operational engine behind our growing US sales motion. This role owns the back-end execution of the sales and rental lifecycle-from order intake and contract setup through ERP execution and AR coordination. Serving as the critical liaison between Sales, Accounting, and our customers' AP teams.

Responsibilities

  • ● Lifecycle Management: Own the end-to-end sales and rental order lifecycle, from intake and contract setup (MSAs, SOWs) to close-out.
  • ● Contract Portfolio: Manage a high-volume, complex book of concurrent rental contracts with staggered milestones and billing schedules.
  • ● ERP Administration: Act as the Oracle ERP process owner, configuring and optimizing workflows tailored to the sales team's operations.
  • ● Cross-Functional Alignment: Serve as the primary liaison connecting Sales, Accounting, and customer AP teams to reconcile invoices and ensure clean revenue recognition.
  • ● Inside Sales Support : Partner with Account Executives to qualify leads, draft quotes, and drive the tactical sales cycle.
  • ● Data & Reporting: Maintain CRM hygiene and build unified reporting across pipeline, ERP, and AR data to establish a single source of truth.
  • ● Process Improvement: Identify friction points across the order-to-cash workflow and deploy scalable operational fixes.
  • ● Forecasting & Health Tracking: Partner with Finance to project rental revenue, track equipment utilization, and monitor overall contract health.

Requirements

  • ● 3-5 years of experience in sales operations, order management, or contracts administration.
  • ● Hands-on ERP experience (Oracle preferred) with a strong grasp of order-to-cash, invoicing, and revenue recognition processes.
  • ● Exceptional attention to detail, capable of managing multiple complex contracts, deadlines, and billing milestones concurrently without errors.
  • ● Strong written and verbal communication skills for direct collaboration with cross-functional stakeholders and external customers.
  • ● Founder's mentality: Proactive, adaptable, and comfortable building processes in a fast-paced, high-growth environment.
  • ● Direct experience administering Oracle ERP (Fusion, NetSuite, or EBS) alongside CRM/CLM platforms (e.g., Salesforce, HubSpot).
  • ● Background supporting equipment rental, capital-equipment sales, construction tech, or industrial robotics businesses.
  • ● Bachelor's degree in Business, Finance, Operations, Supply Chain, or a related field.
  • ● Join a fast-growing company helping modernize one of the world's largest industries through construction automation and intelligent equipment technology.
  • ● Play a foundational role in a high-growth U.S. operation, where you will have direct ownership in building, scaling, and optimizing processes across the organization.
  • ● Drive high-impact initiatives by partnering closely with cross-functional teams and leadership in a dynamic, unified environment.
  • ● Competitive salary, performance incentives, retirement plan, and flexible work environment.
