Responsibilities

  • ● Process customer orders and verify purchase orders, invoices, picking lists, and delivery documents for accuracy.
  • ● Coordinate with Warehouse, Logistics, Sales, and other departments to ensure timely and accurate order fulfilment.
  • ● Handle customer enquiries via email, phone, and WhatsApp regarding orders process, pricing, product availability, and delivery schedules.
  • ● Prepare quotations based on approved pricing and support the Sales team with administrative tasks.
  • ● Manage bulk orders, scheduled deliveries, urgent orders, and delivery arrangements.
  • ● Follow up on delivery issues, product exchanges, returns, and discrepancies to ensure customer satisfaction.
  • ● Maintain accurate order records and provide supporting documents, including product specifications, Halal certificates, and Certificates of Analysis (COA), when required.
  • ● Coordinate WD orders directly with WDPL and follow up on order fulfilment.
  • ● Provide operational support for urgent orders, delivery escalations, and customer service matters during weekends or public holidays when required.
  • ● Provide backup support for Customer Service colleagues during leave, peak periods, or manpower shortages.
  • ● Perform other sales support and administrative duties as assigned.

Requirements

  • ● Minimum 1-3 years of experience in Sales Administration, Order Processing, Customer Service, Logistics Coordination, or a related field.
  • ● Familiar with Microsoft Office and good communication skills with a customer-oriented attitude.
  • ● Organised, detail-oriented, and able to manage multiple orders and deadlines.
  • ● Able to work in a fast-paced environment and coordinate with operation departments.

Nice to Have

  • ● Experience in FMCG, food distribution, food service, trading, or wholesale distribution will be an advantage.
